Office Coordinator | Dutch

For our client - a leading manufacturer of commercial food service equipment with their European HQ in Amsterdam – we are currently seeking a Office Coordinator to join their HR & General Affairs team.
In this role, you will manage daily operational tasks related to General Affairs, supporting various administrative and organizational functions within the HR and General Affairs department. You will maintain continuous communication with employees and vendors.
Responsibilities:
- Manage daily office operations to ensure efficiency, productivity, and a professional workplace environment.
- Maintain and order office supplies, ensuring the office remains well-stocked and organized.
- Welcome visitors, candidates, and colleagues; arrange refreshments for meetings.
- Oversee office facilities, coordinating maintenance, repairs, and lease agreements with landlords.
- Plan and organize company events, such as town halls and year-end activities, including logistics.
- Handle administrative tasks, such as organizing files, managing office equipment, processing mail, and tracking leave records.
- Manage company vehicles, including maintenance, fuel cards, and documentation.
- Prepare essential documents, such as employer statements, and maintain the HR tool by updating policies and procedures.
- Support onboarding processes for new hires by preparing workstations, coordinating IT setup, and providing tools.
- Coordinate the collection of performance appraisal documents and prepare monthly HR reports.
- Build and maintain relationships with vendors, service providers, and local authorities.
- Act as a backup for team members during absences to ensure smooth operations.
- Perform additional duties as assigned.
Requirements:
- At least 2 years of relevant experience in General affairs / Office coordination
- Ability to work with different software systems
- Business fluency in English & Dutch (at least B2)
- Excel skills; proficient with spreadsheets and formulas
- Excellent communication skills to communicate with external parties and internally
- Excellent planning & organizational skills
- Hands on mentality, proactive attitude and a true team player
