As the Logistics Administrative Employee you are a service minded individual, with a proactive attitude, that enjoys maintaining seamless operations through careful administrative management. In your role you will be responsible for administrative tasks and ensuring correct administrative handling of operational files and reports. You'll be responsible for opening files, creating sales orders and purchase orders, as well as keeping the sales orders and purchase orders up-to-date throughout various operations. Additionally, you'll play a crucial role in supporting local operations managers by verifying incoming invoices against purchase orders. Handling outbound invoicing, including intercompany transactions, and ensuring all necessary documentation is in order will also be part of your responsibilities. Along side this your responsibilities will entail:

  • Delivering files to the financial administration for further administrative processing.
  • Supporting the project teams with administrative tasks.
  • Facilitate forwarding activities, such as supporting the operational departments in booking forwarding orders as well as processing forwarding files in accordance with the agreed-upon terms.
  • Acting as the primary administrative contact for other offices within the company for daily administrative matters.
  • Confirming purchased services by sending order confirmations.
  • Informing the customer about the progress of the invoicing process.

Requirements:

  • C1 level Portuguese speaker and C1 level English speaker. Dutch language skills are a plus.
  • MBO level in related fields or experience in the logistics sector.
  • Operational experience in shipping activities and related administration.
  • Result-oriented and cost conscious.
  • Experience working with ERP systems and general PC skills (Windows, Microsoft Word and Excel).
  • A team player excelling in accurate administrative processing.
  • Strong social and communication skills, demonstrate flexibility, and embrace a dynamic work approach.
