  • Diary Management & Travel Coordination: Organize schedules, manage travel arrangements, and facilitate internal meetings.
  • Financial Administration & Vendor Management: Oversee purchase orders, invoices, and relationships with vendors (e.g., translation services, couriers, printing).
  • Translation & KPI Coordination: Manage translation processes, track payments, monitor Key Performance Indicators (KPIs) for translations, and prepare presentations for KPI meetings.
  • Administrative Support: Provide administrative assistance to site management, including managing courier and printing services.
  • Access & Distribution Management: Maintain distribution lists and manage SharePoint access.
  • Onboarding & Offboarding Assistance: Support new staff onboarding/offboarding, including IT setup and security clearances.
  • Internal Stakeholder Support: Handle inquiries and requests from internal stakeholders.
  • Confidential Agreement Management: Draft, file, and manage Confidential Disclosure Agreements.
  • EC Payment Handling: Process and manage EC payments.

Requirements:

Candidate Requirements

  • Proven experience in personal assistant/secretarial support roles at the senior management or department level.
  • Excellent oral and written communication skills in both Dutch and English.
  • Strong literacy and numeracy skills, with a keen attention to detail. Proficient in MS Office tools: Word, Outlook, PowerPoint, and Excel, with SharePoint experience being a plus.
  • HBO level education or higher.
  • Willingness to be in the office 3 days a week, or more as needed. This is a non-hybrid role, so the candidate must live nearby.
