Are you an experienced administrative professional with a passion for supporting leadership teams and organizing international marketing events? We are looking for a dynamic and proactive Business and International Marketing Support Associate to provide essential administrative and event management support to an international leadership team. This role also involves managing logistics for internal and external events, ensuring compliance with industry standards.
Key Responsibilities are divided in the categories below:
General Support:

  • Assist the International Leadership Team with daily responsibilities, including scheduling and coordinating customer and team meetings.
  • Provide administrative support: manage calendars, process expenses, assist with visa applications, and format presentations.
  • Collaborate with the Back Office Team to organize logistics for internal meetings.
  • Maintain and update the annual planning calendar for international events and meetings.
  • Manage complex travel and accommodation arrangements as needed.

Marketing Event Coordination:

  • Plan, organize, and execute compliant internal and marketing events across international markets.
  • Ensure all events meet MedTech industry regulations, including legal and ethical guidelines.
  • Support regional and international congresses, trade shows, conferences, product launches, and webinars.
  • Oversee logistics such as booth setup, shipment of marketing materials, vendor supervision, and booth asset management.
  • Coordinate customer invitations, sponsorships, speaker agreements, and registrations.
  • Track event expenses and manage post-event follow-up evaluations.
  • Work closely with Legal, Regulatory, and Marketing for material approvals and overall compliance.

Front Office Administration:

  • Perform front office duties such as answering phone calls, managing incoming and outgoing mail, and preparing documents.
  • Maintain an efficient office environment by handling office supplies, catering, deliveries, and facility-related tasks in collaboration with the building manager.
  • Welcome and assist office visitors, ensuring a smooth experience.

Requirements:

These are the qualifications we are looking for:

  • Proven experience in event planning and organization in greater scale
  • Previous experience in an international (Bio) pharmaceutical or medical field is preferred.
  • Strong knowledge of general office administration and meeting coordination.
  • Expertise in managing domestic and international travel arrangements.
  • Familiarity with digital marketing tools (e.g., CRM systems, social media, email marketing) is a plus.

Further skills & Competencies:

  • A customer service mindset and a proactive "can-do" attitude.
  • Strong skills in Microsoft Office (Word, Excel, PowerPoint).
  • Exceptional organizational skills with attention to detail and accuracy.
  • Excellent communication skills in English; additional languages such as Dutch, German, French, Spanish, or Italian are an advantage.
  • Willingness to travel internationally and work flexible hours to accommodate global time zones.
  • Ability to maintain confidentiality and handle stressful situations with poise.
  • A dynamic, energetic personality with a practical, problem-solving approach.
